Eligibility
A refund may be due when an engagement is cancelled in line with the timeframes below, when we cannot attend an agreed on-site day for reasons on our side, or when a deliverable is not supplied after we have accepted the records needed to produce it.
Timeframe
Cancellation notices should be sent to contact@sourceenginegrid.digital. The clock starts on the working day we receive the message.
Full refund
A full refund of fees already paid is available if you cancel more than ten working days before the first scheduled on-site day or, for remote briefing and log-design work, more than ten working days before the agreed start date, and we have not yet begun reading the records.
Partial refund
If you cancel between three and ten working days before the start, we may retain up to forty percent of the quoted fee for time already spent scoping and for held diary space, and refund the remainder. After work has started — including reading notebooks or facilitating part of a mapping day — fees for days or stages already delivered are not refunded.
Non-refundable items
Travel booked at cost for an on-site review is non-refundable once purchased, unless the carrier refunds it. Printed cards prepared for a mapping session are non-refundable after printing if you cancel inside three working days.
Deposits
A quote may ask for a deposit to hold dates. The deposit is applied to the final fee. It follows the same full and partial rules as other fees.
Rescheduling
One reschedule with at least five working days' notice is ordinarily accepted without a further fee, subject to later diary space. Further reschedules may be quoted as a new date hold.
No-shows
If the agreed room is empty, or the shared-screen session has no laboratory participant, after fifteen minutes of the start time, that day is treated as delivered for fee purposes.
Work already started
Written pages, figures, and field lists produced before cancellation remain our working files unless the quote already licensed them. We can, on request, send whatever had been completed, without an additional writing fee, as part of closing the engagement.
Purchased materials
If a mapping session required special printed stock purchased for that room, unused stock after a late cancellation is not refunded.
Refund process and timing
Send a refund request to contact@sourceenginegrid.digital or call +13155532160, naming the quote. Approved refunds are returned by the same method originally used, typically within fourteen working days after approval.
Exceptions
If we cancel for reasons on our side and cannot offer a suitable new date, you may choose a full refund of fees paid for undelivered work. Statutory rights under Georgian law that cannot be waived remain available.
